Terms of use
What this system is for, and what it is not.
Version 2026-09-08 · Last updated 8 September 2026
These terms have not been reviewed by a lawyer. They state plainly how the software behaves and what it does not claim to do. Have them reviewed before relying on them as an agreement.
What this is
A place for a business to keep its own record of money in and money out, what it owns and owes, and what is in stock. EwenamTech provides it; the records inside belong to the business that entered them.
These are not audited accounts
This is the most important line on the page.
The system keeps single-entry records: a list of amounts you typed, grouped by category. It is not double-entry bookkeeping, there is no trial balance, and nothing here is checked by anyone. The reports screen is called a statement of recorded entries for that reason and not by accident.
So: do not file it as prepared financial statements, and do not present it as audited to a bank, a tax authority or an investor. If you need accounts, take these records to an accountant — they are a good, complete starting point and they are not the finished article.
Stock values are an estimate. They use weighted average cost, which is the honest method for a book kept by the person holding the stock, and it is not what an auditor would compute under IFRS.
Your account
- You can open a shop yourself, or an administrator can open one for you. Either way the account is yours alone — do not share it. The sign-in code goes to one phone or one address for a reason.
- Keep your password to yourself, and change the temporary one you were given. If you think somebody else has it, ask an administrator to issue a new one; that signs out every device immediately.
- What you type is your responsibility. Nothing in the system checks whether an amount is true, and an administrator cannot tell a typo from a transaction.
What is not promised
The service is provided “as is” and “as available”. To the fullest extent the law allows, we exclude all warranties, conditions and terms implied by statute, common law or otherwise — including any implied term as to satisfactory quality, fitness for a particular purpose, accuracy, or uninterrupted availability.
It is not a substitute for keeping your own records. Export your data regularly using the CSV download on the Reports screen. That takes a minute, and it is the only copy that survives anything happening to this system.
Our liability to you
We provide this service free of charge. To the fullest extent the law allows, our total liability to you for all claims arising out of or relating to this service, however caused and on any basis, is limited in aggregate to GH₵1,000.00.
We are not liable for:
- loss of profit, revenue, business, contracts or goodwill;
- loss or corruption of records or data;
- any business decision taken on the basis of a figure on one of these screens; or
- any indirect or consequential loss, whether or not we were told it was possible.
Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited or excluded.
Who owns what
We own the software and everything in it. You own your records.
You give us only the permission we need to store, process and show your records so that the service can work — nothing more, and only for as long as your account exists. We do not use them for anything else, and we do not use them to train anything.
Using it properly
Do not use this service to:
- keep records for a business that is not yours, or open an account in somebody else's name;
- try to reach another shop's records, or to test the system's defences without being asked to;
- send automated traffic at it, or open accounts in bulk; or
- break the law of Ghana.
If you break these terms we may close your account, and you are responsible for any loss we suffer because of it.
Ending it
You may close your account at any time. We may close it if you break these terms, or on 30 days' notice for any other reason.
Except where we have to act immediately — a legal requirement, or serious misuse — we will give you at least 30 days to export your records before access ends. These terms tell you to export regularly, and you cannot do that once you are locked out, so a closure without a window would contradict the instruction.
You can delete your shop and its records yourself, from Account — see the privacy notice for how that works.
Changes to these terms
We may change these terms. The version and date at the top of this page say which text is current, and the version you accepted is recorded against your account.
If a change materially affects you we will tell you before it takes effect, by the phone number or email address on your account. Carrying on using the service after that means you accept the new terms; if you do not, close your account.
If something goes wrong between us
Tell us first. Most disagreements are a misunderstanding about a figure on a screen and are settled in one conversation — so before anything formal, contact us and give us 30 days to put it right.
If that does not settle it, these terms are governed by the laws of Ghana and the courts of Ghana have exclusive jurisdiction.
The rest
- Things outside anyone's control. We are not liable for failing to provide the service because of something beyond our reasonable control — a network or power failure, an act of government, or a failure at one of the suppliers named in the privacy notice.
- Transferring this agreement. You may not transfer your account to somebody else. We may transfer this agreement to another business, and if we do, your records and these terms go with it unchanged.
- If part of this is unenforceable, the rest still stands.
- This is the whole agreement between us about the service, together with the privacy notice.
